Smart way to work

The front of the card displays the individual’s name, while the back shows the seating plan with the other guests’ names.

The Ministry of Foreign Affairs (MFA) often arranges official dinners for Singapore VIPs and visiting dignitaries. Individual place cards and seating plans are made for each table so that the guests can locate their seats easily.

In the past, these seating plans and place cards were done manually. But the work process has improved vastly because MFA leveraged on the power of IT to develop an application for printing personalised place cards.

Personalised place cards for easy reference
The front of each personalised card displays the name of the individual, while the back shows the seating plan with the names of the other guests as seen from the perspective of the individual.

Such place cards are useful in situations where one cannot see the names of the other guests at the table for various reasons, for example, when floral centrepieces are obstructing one’s view. The individual can then refer to the back of his place card for the names of the other guests around his table.

Ingenious solution
The Place Card Generator was developed by an in-house team within a relatively short time (two weeks) at minimal cost using standard software such as Microsoft Word and Excel.

With the application, MFA officers can now create place cards for 12 guests at a round table in mere minutes, while the previous manual method would have taken much more time and effort.

The application is especially useful when there are last minute changes to the guest list. The seating plan can be easily adjusted and new place cards can be printed quickly. The application is also flexible enough to cater for different table settings.

An MFA officer can create place cards for guests within a few minutes.

Excellent results
The Place Card Generator is a low cost, simple-to-use, time-saving solution that has enabled MFA to computerise what was previously a resource-intensive, manual process. Other than streamlining the workflow, it produces a more ingenious and elegant version of the place card, i.e. a personalised table-seating plan that can be quickly and easily produced.
