Two
universities have re-engineered their admission
systems for the benefit of their customers.
Read on to find out how applicants as well
as the universities have benefited from the
change.
In
2001, the Nanyang Technological University (NTU)
received a grant to develop a new
online, paperless system for admitting polytechnic
diploma holders to courses offered at NTU and the
National University of Singapore (NUS).
Instead of engaging external vendors to develop the
system, NTU chose to do it in-house. The funds were
used to renew the Oracle software licence and purchase
a new server for the admission system.
Easy application
NTU and NUS introduced the system with two goals
in mind. The first objective was to enable applicants
to apply online from anywhere and at anytime.
The second was to introduce paperless processing,
which would greatly improve efficiency and customer
service. This was made possible through data sharing
with the polytechnics, which provided the results
of the diploma holders, and the Ministry of Education
(MOE), which provided their O-level results.
The online, paperless system was implemented in mid-February
2003 and the admission process went on very smoothly.
An applicant whose NRIC number matches that in the
records of both his/her polytechnic and the MOE would
not need to supply any hard copy documents for the
application. The application fee can also be paid
online.
Online acceptance system
NTU and NUS also rolled out an online acceptance
system, which enables all successful applicants with
A-level qualifications or polytechnic diplomas to
accept the offer online and to apply for a place
in the hostel.
Application forms required by different offices have
also been made available online. Now applicants only
need to fill in one online form to fulfil the administrative
needs of the various NTU and NUS offices. The online
form was enhanced to avoid duplication and requesting
for applicants’ data that was already available
in the admission system.
Multiple benefits
The online, paperless system has provided many advantages
for applicants as well as the Office of Admissions.
In the past, applicants had to go down to the universities
to collect the application form and submit hard copy
documents. Now they can submit their application
at their convenience. And if their results are found
in the admission system, they need not submit hard
copy documents.
The universities enjoy savings in costs as there
is no need to print and send out hard copy application
forms. With the use of e-payment tools, the Office
of Admissions can also save on employing temporary
staff to sort out the cheques received. |
